How to edit a paid invoice or bill in Books?

This article will teach you how to change a paid invoice or bill so the payment stays applied and any higher total reopens the balance.
A paid invoice or bill is not frozen. Edit changes the lines, and Books keeps the cash already applied. If the new total is higher, the document becomes Partially Paid and Balance Due is the difference. The edit is blocked only when that day’s End of Day is already closed, or the payment is categorized against the bank. Void is a different action: a paid document cannot be voided until the payment itself is voided.
Steps
- Open the paid invoice under Orders → Invoices, or the paid bill under Purchases → Bills.
- For an invoice, turn on Settings → General → Allow Users to Edit Invoices if Edit is missing. Bills show Edit without that switch.
- Click Edit. Change the line, price, or freight, then click Save (on a bill that already has a payment the button is Save Bill).
- Confirm the payment is still applied. If the new total is higher, status is Partially Paid and Balance Due is the difference. If the total is unchanged, it stays Paid.
- If the message says the document is locked in a closed End of Day session, open End of Day, reverse that session, then edit again.
- If the message says the payment is categorized in Banking, open Banking and uncategorize it. If the row is reconciled, undo the reconciliation first, then edit again.
- You cannot save a total lower than the amount already paid. Unapply or void that payment first, then edit.
Conclusion & best practices
Use Edit when the document amount was wrong and the cash was real. Use Void on the payment when the cash itself should not have been recorded — that reopens the full balance. Do not type a new balance by hand, and do not void a paid invoice or bill while its payment is still applied.
