How to set up a dealer program in Sync?

This article will teach you how to create a volume-rebate dealer program, enroll customers, and see remaining units and Books credits.
Dealer programs help wholesalers and distributors incentivize customers to buy more. Each program has a date range, unlock tiers (for example 100 pieces), and a payout such as $1 back per qualifying unit. You can mirror a manufacturer rebate (Hankook, Fairmount, and similar) or run a custom in-house program. Qualifying invoices in Books count toward the goal so the dealer — and your team — can see how many units are left. When the program is settled, Books posts a customer credit memo so the rebate appears on that dealer’s AR statement. Watch the walkthrough: Dealer Programs on Tire Base.
Steps
- In Sync, open Dealer Programs from the sidebar and click New Program.
- Enter a Program name that describes the commercial rule (for example “Hankook Volume Rebate 2026”), then set Start date, End date, and Status. Leave it Draft until the rules look right, then switch it to Active.
- Under Unlock tiers, set Units to unlock — the volume the dealer must hit. Example: 48 units for Tier 1, 100 units for Tier 2.
- Under Payout columns, name the column (brand or style), choose eligible products (tire / wheel / service, brands, models, or part numbers), and enter $/unit by unlock tier (for example $1.00 back at 100 units). Add more columns when brands pay different rates.
- Under Enroll customers, select the dealers who should earn this rebate, then click Save Program.
- Open that customer in Books (or CRM) and open the Dealer Programs tab to confirm units remaining, current payout, and money earned. Qualifying invoices and credit memos in the program dates count automatically; settlement credits do not double-count.
- If the dealer shops your B2B portal, they can open Dealer Programs there to see the same remaining-units goal.
- When the program is settled, Books posts a non-inventory customer credit memo. It shows on the customer’s Dealer Programs history and on their AR statement.
Conclusion & best practices
Name programs for the rebate rule, not one customer, so you can enroll more dealers without renaming. Keep payout columns mutually exclusive when a model should not also count under a broader brand column. After a big catalog or price change, re-check one enrolled dealer’s unit count before you tell the network the program is live.
