0:00 Hello team, welcome to another TireBase tutorial. In this video, we'll walk through the complete process of creating a work order from scratch.
0:08 There are two ways to begin. In this example, we'll start from the Products & Services module.
0:16 Search for a customer or browse by price level, then search for products by brand, style, or tire size.
0:37 Select the desired tire and add it to a quote. You can also create a new customer if needed.
1:05 After selecting the customer, you can choose a ship-to location, assign a vehicle, and record the vehicle mileage.
1:30 Products are added to the order, and any automatic service rules configured for those products are applied automatically.
1:48 You can also search for and add additional services, modify quantities, prices, markup, FET, and review the order total.
2:12 If customer approval is required, send the authorization request by email, SMS, phone, or collect it in person. The customer can approve or decline individual items, and the total updates automatically.
2:50 You may also select the inventory bin from which the product will be picked.
3:18 Add internal notes, assign a technician, schedule an appointment, and include reference or PO numbers if needed.
3:59 The order can remain as a quote, be converted to a work order, or receive an invoice number before payment.
4:09 Payments can be added directly from the Payments screen. The system calculates change automatically and updates the order balance.
4:52 Print the work order to review all details, including customer information, vehicle, products, taxes, payments, technician, and notes.
5:57 If there is a remaining balance, the work order can display an open balance section.
6:17 Customer signatures can be collected through email, SMS, or in person and displayed on the printed work order.
6:35 Footnotes and disclaimers configured in Settings are automatically included on the printed document.
6:46 When the work is complete, finalize the order. You can optionally modify the closing date before converting it into an invoice.
7:13 After finalization, the order history shows authorized and declined items, order movements, payment history, gross profit, and attached documents.
7:56 The Documents section allows you to upload PDFs and other files related to the order for future reference.
8:08 That's the complete process for creating and managing a work order in TireBase. Let us know if you have any questions.
