00:00 Hello team, welcome back to another TireBase tutorial. In this video, we'll review the main features and functions available in the Customers module.
00:15 Access the Customers module from the main menu. You can search for customers by name, email address, or phone number.
00:23 You can view both active and inactive customer accounts.
00:32 To deactivate a customer, open the Actions menu and select Delete. This moves the customer to the inactive section and removes their access to Tire Access.
01:05 To reactivate a customer, select the account, click Bulk Edit, choose Status, and change it to Active.
01:17 Customers who previously used Tire Access may need to have their online access enabled again after reactivation.
01:27 The selection checkboxes allow you to update multiple customers at the same time.
01:36 Use Bulk Edit to assign a new price level to selected customers.
02:10 Bulk Edit can also be used to update tax rates or change customer account statuses.
02:28 The Actions menu allows you to delete customers, edit their information, or open their customer details.
02:34 Customer information such as price level, tax rate, billing address, email, and phone number can be updated from the Edit screen.
03:02 The AR Statements section displays accounts receivable information for Terms customers.
03:11 Select one or multiple customers and click Send Account Statement to email their statements.
03:36 Customer Tags allow you to create custom classifications and assign them to customer accounts.
03:47 Use Quick Lookup to find a customer and assign tags based on their source, category, or other relevant information.
04:21 Assigned tags appear next to the customer's price level in the Customers module.
04:36 The Payments section displays customer payments and includes options to reverse eligible transactions.
04:45 Payment data can be exported to Excel, and individual payment receipts can be viewed or printed.
05:17 Customer Details contain several sections for managing each individual account.
05:27 You can configure whether the customer uses COD or Terms, as well as their credit limit, payment terms, price level, and tax rate.
05:44 Authorized users can also override the customer's credit limit when necessary.
05:49 The Add New Card option allows you to save a payment card to the customer's account.
05:57 The Pay Now section displays the customer's outstanding balance, available credits, unapplied payments, and total balance.
06:11 For COD customers, select the All filter to view both paid and pending invoices.
06:21 Click an invoice number to review its details, payment status, and related information.
06:38 Use the available filters to search by transaction type, payment status, date range, or store location.
07:13 Customer account information can be printed, exported as a PDF or Excel file, or sent directly to the customer's email.
07:32 Credit Memos are displayed in the Pay Now section and can be applied to outstanding invoices.
07:37 Use the date filters to locate specific invoices and credits within a selected period.
08:08 Select a Credit Memo and its corresponding invoice, then click Save to apply the credit to the invoice.
08:22 Payments can also be exported to Excel, updated in bulk, and imported back into TireBase.
08:37 The Transactions tab displays all transactions associated with the selected customer.
08:55 The customer-specific Payments tab shows all payments made by that customer and allows eligible payments to be reversed.
09:19 Payment filters can be used to review transactions from a specific date or reporting period.
09:26 The Vehicles section allows you to add vehicles using a state and license plate search through CARFAX or by entering the information manually.
09:40 The Locations section allows you to manage multiple customer locations and assign a separate email address to each one.
09:58 The Tire Access section is used to create and manage B2B accounts so customers can access your inventory online.
10:14 Tire Access accounts can be enabled, disabled, or modified directly from the customer's profile.
10:22 The Historical Data tab displays invoices and orders imported from systems used before TireBase.
10:40 Historical orders imported through data migration can be reviewed directly from the customer's account.
